Fall is here! For most of us that means that school is back in session, fall sports have started, and holiday festivities are on the horizon. We’ve waved goodbye to those hot summer days for now, and we look ahead to the beginning of what most of our clients call the busy season.
The busy season looks different for each of our clients, but the effect is the same: increased workload, important deadlines, and extra to-dos. Being in the support business, I’d like to share three ways you can maximize this season through the use of your assistant.
#1 – Increase Communication
At AssistPro™, we run on EOS®, so we highly recommend sticking to a weekly Level 10 Meeting™ , especially during the busy seasons. When our clients and assistants come to us with struggles on feeling like they’re not on the same page, the first question we always ask is if they’re having weekly meetings. Generally, the answer is no.
We understand that you’re busy, and it feels like if you have to block one more half hour on your calendar for a meeting, you might scream. However, communication is vital to any relationship, but even more so when life is moving a hundred miles per hour. If you and your assistant cannot connect for at least thirty minutes a week, there is a higher chance that important tasks will fall between the cracks. This, of course, creates more work to fix. A lack of communication also creates stress on you and your assistant which will, in turn, strain the relationship. So, keep that weekly meeting on your calendar, no matter how tempted you are to cancel it.
#2 – Plan Ahead
Always, always, always…plan ahead! During your weekly meetings with your assistant, take time to look ahead at your calendar together. Is it time to think about holiday gifts? Do you have extra clients that need to be worked in somehow? Do you need to block time for a family holiday trip? Your assistant is your team mate. She is your go-to, and your support system. She is ready to take all of your thoughts and ideas and make them work for you.
Taking time to discuss the things that need to happen in this busy season will help your assistant be most effective for you and the success of your business.
#3 – Delegate More
Now that we’ve ramped up communication and you’re planning ahead, let’s look at what you can delegate. It’s a scary word, we know, but letting go of the vine will be one of the greatest things you will ever do for yourself. We firmly believe in supporting our clients not just in business, but in their personal lives as well. Our assistants consider it a great honor when their clients ask for help with booking a family trip (yep, you can do that), or maybe even coordinating their clients’ kids’ sports schedules on their calendar.
You can’t do it all, and that’s why you have an assistant. Take this opportunity to trust your assistant to support YOU. Delegate more, and you’ll be able to maximize this season to its fullest without the stress.
While most of our veteran client and assistant duos have all of the above down to a science, it’s still a good idea idea to revisit and improve communication, pro-activity and delegation at the beginning of each quarter.
